Writing The Best Guest Welcome Note

Being a successful host is not just about increasing your number of stays, it is also about keeping your guests happy during their stay, this improves reviews and increases the chances of repeat visits. The first step to creating a good guest experience is by sending them an amazing welcome note.

A welcome note is a great way of showing guests that you care about their stay and want it to be the most enjoyable possible. Usually welcome notes cover topics relating to your listing, from how to use the appliances, to the best places to eat locally. It is also an opportunity to remind guests of the house rules in a friendly manner.

When to send a welcome note

Timing varies from host to host. Some prefer to send the letter close to the arrival of their guests, preferring to send a separate thank you email at the time of the booking.

It is best to not leave it too late before sending your welcome note. Many guests will be travelling and likely without consistent internet leading up to their stay, so consider sending your note at least 3 days before they check-in.

Some hosts also like to print out a copy and place it in a noticeable position near the entrance so guests can re-read the note when they arrive and refer to it when they are trying to find their way around the listing.

Some things you may want to include

Directions: This is an essential part of the note for some listings, especially those slightly more difficult to find. Ensure you write a detailed list of instructions about how to find your listing and it could be beneficial to send maps or illustrations of directions.

Contact details – It’s always a good idea to provide a number that you can be reached on and an email address just in case.

Check in info: Where can guests find the key? What time are they allowed to check in? Any codes they need to know (be sure to send these in a secure manner - more on this later)?

Internet: Most guests will want to check into the wifi on arrival. Provide them with your password and any instructions needed if there are issues.

Tip: Why not try a QR code scan to sign-in? This makes it much easier for your guest to sign in without long passwords. Placer are offering free wifi sign in QR codes to qualifying hosts, that will look great in your listing. Contact us if you are interested on: contact@placer-it.com

House rules: You will most likely have these noted on your listing description but the welcome note is a great way to reiterate your house rules, and will give them something to refer back to should they forget.

Appliances: Some people may find using even simple appliances difficult so best to cover as much as possible! Don’t forget to list instructions for air conditioning or heating devices as well as kitchen appliances and connected speakers etc.

Check out info: What time do guests need to depart? Where should they leave the key? Do they need to take out the bins? All important if you want the check out to go smoothly.

Many people choose to stay in an Airbnb listing because they want to connect with the local area and people and to feel that they are having a unique experience. A good welcome note can really contribute towards them feeling like they have had one.
